One instrument for the whole export lane

Obsign takes a continuous reading of every shipment: what can leave, what is blocked, and exactly why. Its controls are enforced in the database, so the interface cannot be worked around. Around them sits the rest of the lane, from the permit application to the endorsed copy and the period's return.

The lane, step by step

01 · Plan

Track each destination against its import estimate, and print a permit application pack from the consignment: licences, import certificate, quantities in base, documents with their fingerprints.

02 · Build

Import shipments from your current system's export or build them by hand. Link the permit and import certificate, add the lines to the exact milligram, and attach or request the evidence.

03 · Control

Obsign evaluates the consignment continuously against the permit balance, expiry and the evidence still outstanding, and says exactly what is holding it.

04 · Release

Release only when the controls pass and both signatures are in. The permit draws down and the record is written in the same instant, or not at all.

05 · Ship

The dossier carries a seal anyone can check. Each package gets a label with the seal and, with your GS1 prefix, an SSCC barcode.

06 · Close

Follow the shipment until the endorsed copy is back, quarantine on a discrepancy, and produce the period's return from the same record.

What it enforces

Permit and quota control

Live balances that deplete as shipments dispatch, an over-balance request refused with the exact shortfall named, and a quota ledger that draws down on dispatch and warns as it nears its ceiling.

Rules at dispatch

A destination the permit does not authorise, an expired permit, or a missing operating licence each blocks a shipment, enforced in the database rather than the screen.

Dual-control signatures

Two different people, each re-entering a live second factor at the moment of signing. One person cannot sign twice, and changing a line clears the signatures.

Document integrity

Every document fingerprinted and checked against known malicious signatures on ingest, rejected if flagged, checked again on download, superseded, never edited or deleted.

Release readiness

A per-consignment report of every release control and whether each is satisfied, so a shipment leaves for a stated reason, not just an absence of findings.

Audit and dossier

An append-only, hash-chained record of who did what, verifiable in one click, plus a branded evidence dossier for any consignment.

Across the export lane

Permit application pack

A PDF from any planned export of everything Obsign holds for the permit application: licences, the import certificate and its remaining quantity, each substance with its schedule, HS code and base quantity, every batch, and the documents with their fingerprints. It is not an official form; it is what you copy onto one.

Destination import estimates

Each destination's estimate for the year, in base, against every planned and dispatched shipment to it. Advisory warnings on the consignment and alerts at 80, 90 and 100 per cent; never a block, since the estimate is the destination authority's to apply. In 2025 Germany's estimate for medical cannabis ran out in the autumn and new import permits were held until a higher one was confirmed: the kind of limit worth watching before a shipment is promised.

Import from your current system

Bring shipments in from your dispatch or stock system's export, one row per batch. Columns matched, articles mapped to substances, every row checked before anything is saved, and the same shipment never imported twice.

Obsign Seal and package labels

A seal on the dossier that anyone can scan to see the record held in Obsign. One label per package carrying the seal and, with your GS1 company prefix, an SSCC barcode numbered once and never reused.

After dispatch

The endorsed copy expected, flagged when overdue, and recorded with a signature; quarantine on a discrepancy; a signed reason to close without one. Every step lands in the dossier.

Regulatory returns pack

Any period as exports and imports by country and substance, in product and base, with corrections beside them, a usage statement per permit, and every consignment behind the figures. As CSV or PDF.

Notifications tie it together: a document received, a request overdue, an expiry within 30 days, an endorsed copy overdue or an estimate nearing its limit, in the app and as a daily email digest.

Evidence on your terms

Your own checklists

An owner defines what evidence each lane needs before a consignment can leave draft. An item can be required once per consignment or once for every batch, such as a Certificate of Analysis per batch, and the rows follow as batches are added, removed or renamed.

Counterparty register

The importers and other parties you ship with, added by your team and kept in one register. A consignment or import certificate can only name a counterparty on it, so no other organisation's name can slip onto your record.

Requests under your name

Ask a counterparty for a document, or for one batch's document, through an upload page carrying your logo and accent colour. Once accepted, it lands on the right row of the checklist.

For importers

The same record works from the receiving end. An inbound consignment is held against your own import certificate: it cannot be received without one, an over-balance or expired certificate is refused with the shortfall named, and receipt is signed by two people and drawn down to the milligram. The receipt closes as a signed act, or goes to quarantine if something is wrong, and the Evidence Dossier and returns pack show it as an import.

Team, access and getting started

Roles for every user

Owner, operations and QA viewer, each seeing and doing only what the role allows. Colleagues join your organisation by invitation, and your freight forwarder can be given read-only access to the consignments you share.

Two-factor and EU hosting

A live second factor on every account, and data stored in the EU, in Ireland. Each organisation sees only its own records.

Evaluation Workspace

A workspace for made-up data, limited to three consignments and one export permit until activated, to run a consignment end to end before going live. One per company, opened with a work email, and shared with colleagues by invitation.

The lifecycle

A consignment moves through draft, awaiting documents, review required, evidence complete, dispatched, awaiting endorsed copy and closed, with quarantine for a discrepancy found after dispatch. The transitions are enforced by the database, and a consignment cannot skip a stage.

The counterparty portal

What Obsign does not do

It does not read or judge the contents of a document, confirm a document with its issuing authority, or replace your quality system or your regulatory obligations. A person on your team remains the only one who can decide that a document satisfies a requirement.
